It’s your secret weapon for keeping a construction project on track – and for putting your product in the spotlight.

Specifications must be spot-on. Period. So not outdated datasheets from three years ago or Excel files only understood by the person who made them. With up-to-date and consistent product information, you avoid questions, errors and frustration. And with a PIM like Utopis, you always have a single source of truth everyone can rely on.

Can I write my own specifications?

Absolutely – if your product information is structured in the right “language”, you can definitely write a solid specification. But what exactly is that language?

You don’t have to be a technical writer to create a usable product specification. What you need is clear language and a practical focus. What does your product do? When should it be used? And what should someone keep in mind when using it? Make it understandable – it works for everyone from architect to installer.

Construction projects change constantly. A good specification is flexible and easy to adjust without reinventing the wheel every time. With digital tools and structured product data, reuse becomes simpler and error margins shrink.

Can I use Word of Excel for specifications?

Sure, you can draft a product description in Word or Excel. But then you’re not aligned with standard construction protocols. Yes, people can read and probably understand what you mean. However, the answer to whether you should feed a specification using Word or Excel content is: “no, you really shouldn’t.”

Provide your information in RSX or OSF format – then you’re doing it right.

What does it take to create good specifications?

Architects, consultants and contractors work with STABU2, RAW, ETIM or BIM. When your product data follows those standards, it becomes not only reusable – it builds trust. It prevents miscommunication and speeds up the path from specification to realization.

Not sure what the difference is between STABU2, RAW, ETIM and BIM? Most product managers and marketers can give a rough answer. Want to get up to speed quickly? We’ve written a whitepaper about specifications and BIM.
